Job Description

Job Title: Import and Enquiry Officer
Department: Procurement
Work Location: Dar es salaam

Job Summary:

The Import and Enquiry Officer is responsible for managing import-related activities and handling customer inquiries to ensure smooth procurement and delivery of pharmaceutical products.

Key Responsibilities / Duties:

• Coordinate and oversee the import process, including preparing and reviewing import documentation (invoices, packing lists, shipping documents, etc.).

• Liaise with suppliers, freight forwarders, and clearing agents to ensure timely shipment and delivery of goods.

• Monitor compliance with import regulations and ensure adherence to customs requirements and industry standards.

• Respond to customer inquiries, providing accurate information on product availability, delivery timelines, and order status.

• Maintain records of all imports and inquiries for tracking and reporting purposes.

• Collaborate with internal teams (e.g., procurement, sales, and logistics) to resolve any discrepancies or issues.

• Analyze and manage costs associated with import operations to optimize efficiency.

•  Provide updates and reports on import activities and inquiry resolutions to management.Effectively communicating your insights and plans to cross-functional team members and management.

Job Requirements

  • Education:Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
  • Language Skills: Proficiency in English language is preferred.
  • Mobility:Ability to travel as required for meetings.
  • Experience:

o 3 years of experience relevant area of field.

o Proven experience in import operations (experience in the pharmaceutical industry is an advantage).

o Experience with business process modeling and documentation tools.

o Knowledge of project management methodologies.

  • Technical Skills:

o Strong organizational and multitasking abilities.

o Proficiency in Microsoft Office

o Ability to work under pressure and meet tight deadlines.

o Attention to detail and problem-solving skills.

  • Knowledge:

o Knowledge of import regulations and documentation requirements.
