Job Purpose

The Administrative Officer will provide comprehensive administrative and operational support to the Technical and Maintenance Department to ensure its efficient functioning. The role includes managing departmental meetings, correspondences, logistics, and welfare activities, while maintaining effective communication and coordination across the organization.


Key Accountabilities / Responsibilities

  • Efficiently manage and follow up on all departmental meetings (weekly, sectional, committee, etc.) to ensure that identified priorities are addressed promptly.
  • Handle the M&E Department petty cash securely, including ad-hoc cash requirements, fund provisions, expenditures, and disbursements to ensure smooth operations with zero wastage.
  • Provide high-level administrative support by handling information requests, tracking progress on planned actions, and performing clerical functions such as receiving visitors, handling calls, arranging meetings, and coordinating conference calls.
  • Screen, coordinate, and draft correspondences for the Head of Maintenance’s signature, ensuring timely follow-up on important matters.
  • Receive and filter incoming correspondence, maintaining adherence to communication protocols when interacting with internal and external stakeholders.
  • Develop and maintain an efficient document filing and retrieval system.
  • Coordinate the use, repair, and replacement of office equipment; manage office supply inventories and ensure facilities are fully functional.
  • Prepare and organize both regular and ad-hoc meetings, ensuring timely program inputs and follow-ups.
  • Initiate requisitions and liaise with the Human Resources and Administration Department regarding staff welfare items and Personal Protective Equipment (PPE) for M&E staff.
  • Chair the M&E Staff Welfare Committee and ensure action points are implemented within agreed timelines.
  • Supervise cleaners and maintain cleanliness and orderliness of the Hangar at all times.
  • Serve as a reference point for Safety Management Manual (SMM) Doc Ref. PW/CM/002 Chapter 1.6.2 – 1.6.3.
  • Liaise with the AMO Sales Team to ensure delivery of superior customer service to third-party clients.
  • Assist in the marketing and sales of AMO services where applicable.
  • Perform any other duties as assigned by the supervisor.

Qualifications and Experience

Education:

  • Diploma or higher qualification in Secretarial Studies, Business Administration, Public Administration, or Human Resources and Administration.

Experience:

  • Minimum of 3 years of relevant administrative experience, preferably in a technical, aviation, or maintenance environment.
