DOCUMENTATION OFFICER

Reports to GM | Full time | Work Location: Dar es Salaam | Transportation Industry

Job Purpose
Plays a key role on transportation documentation ensuring adequate compliance with local and transit regulatory requirements to allow smooth fleet operations and meet customer delivery requirements

Duties

 Reviews transportation documents to ensure completeness, accuracy and compliance with regulatory requirements; escalates arising matters to supervisor for further actions
 Provides daily progress reports on loadings, turnover, concerns, and recommends possible improvements
 Reviews daily tracking reports and alongside other colleagues to address potential concerns
 Monitors, assesses and communicates with team members on general or specific documentation requirements
 Custodian for creating, following up, filing and updating the systems with all legally required documents in line with transportation services of the company
 Administers company’s records management system, creating file folders, indexing documents, and filing in relevant places
 Reviews and approves invoices and other billing statements prior to submission to customers
 Coordinates with internal departments to create policies, procedures and reinforce compliance at all times

Qualification, Experience and Attributes

 Degree/Diploma in Transportation, logistics or equivalent
 5 years work experience in transport and logistics
 Skilled in transportation compliance requirements
 Analytical, attentive to details and results oriented
 Effective time management skills
 Upholds high level of integrity and trustworth
 Fluent in English and Kiswahili
 Team player
