Job Purpose:
To support the Human Resource Business Partner, Line Management and Staff through the delivery of a professional HR management service, by means of a dynamic business partnership. To assist Line Management with the implementation and management of Human Resources policies, procedures, systems, and practices at operational level. Be accountable for developing, implementing, and maintaining the efficient operation of the departments administration, by supporting the workflow of the department through teamwork.
Key Accountabilities:
- Liaise and support the HRBP to ensure compliance of all mandatory physical employee documentation and HRIS data update (HRDB)
- Opening employee files of all new employees to ensure all mandatory documents are available as per DSC onboarding list and uploaded in the system ( HRDB); including and not limited to ordering & issuing of ID cards to all employees.
- Managing internal employee communication; confirmations, probations, etc
- On time facilitation and supporting key stakeholders of employees database to receive information or documents from employees’ archive.
- Supporting employees to make changes in the system MTW; raise ticket on issues relating to Employee Relations.
- Working with HRBP to support line managers and employees to govern the compliance of Tanzania labor laws, DSC Policies / Code of Conduct.
- Support in reviewing of existing HR policies and procedures
- Maintaining good records of internal performance management actions i.e., Disciplinary Hearing and Performance Improvement Plan (PIP).
- Champion communications of employees’ affairs i.e., new joiners & leavers, public holidays, annual leave, Birthdays etc.
- Working with Operation Leads to ensure all employee’s sick leave/EDs are well kept and recorded in the system.
- Facilitate exit process of employees by issuing certificates of service and collect all mandatory People & Culture items.
- Supporting HRBP to organize and drive Employee Engagement Agenda & meetings every month or upon request.
- Ensure all employees are complied with Conflict of Interest and Code of Conduct by acknowledging the receipt (signing).
- Administer DSC Reward program, Long Service Award by ensuring on time notification and recognition of awardees as per company Policy.
- Manage other assigned admin activities within Employee Relations office to support employees.
- Other duties as assigned by line manager
Qualifications:
- Graduate degree qualification in Business related
- HR certification
- 1-2 years’ experience in general HR administration
