Receptionist / Administrative Assistant Job Description
BCR Printers Limited is seeking a proactive and highly organized Administrative Assistant/Receptionist to join our team. This role involves collaborating closely with the sales team to craft compelling proposals, pitch decks, and sales enablement materials using new
and existing templates. The ideal candidate will be fluent in English and Kiswahili, confident
in client interactions, and possess experience with CRM systems. A great eye for design and proficiency in tools like Canva are essential.
Candidates with prior experience as an Administrative Assistant/Receptionist in an agency. Strong organizational skills, attention to detail, and adaptability to a dynamic sales process are key. Dar es Salaam, Tanzania.
Objectives of this role
- Efficient front desk management. Ensure the front desk operates smoothly, greeting visitors and managing inquiries in a professional manner.
- Effective Communication.Work as a liaison between departments, clients and visitors, ensuring clear and timely communication.
- Seek opportunities for process improvements to enhance productivity and efficiency in administrative tasks.
Responsibilities
- Maintain accurate records, files and databases, ensuring all documentation is up to date and easily accessible.
- Perform various administrative duties such as data entry, filing, coordination of various internal and external meetings, and preparing reports to support office operations.
- Supervises activities concerned with office grounds maintenance, security, transport and maintaining a clean and organized office environment.
- Coordinate training and capacity-building activities to staff in administrative related
areas.
- Assist in scheduling appointments, managing calendars, and organizing meetings to enhance overall office efficiency.
- Provide exceptional customer service, addressing client needs and resolving issues promptly.
- Raise risks, issues and concerns to supervisor or relevant functional colleagues
- Contributions to preparation of submissions of new or revised procedures and practices.
- Monitor and order office supplies, ensuring the office is well stocked and functional.
- Handle sensitive information with confidentiality and professionalism.
- Any other duties assigned by the CEO, Finance and HR Manager and Sales Manager.
Required skills and qualifications
- Certificate or Diploma office administration or business administration.
- Atleast 2 years in an Administrative Assistant/Receptionist role, ideally at a company
or organization.
- A friendly and professional demeanor to provide excellent service to clients and visitors.
- Ability to priotize tasks effectively and meet deadlines in a fast-paced environment.
- Proficient in office software such as Microsoft Office Suite, Google Workspace and other office equipment such as copiers and printers.
- Basic understanding of CRM systems (HubSpot experience is a plus, but other CRMs such as Salesforce are fine).
- Exceptional attention to detail, with the ability to manage multiple projects simultaneously.
- Strong written and verbal communication skills, with the ability to interact professionally with clients, visitors and team members.
- Able to work independently in and as a team.
